Terms and Conditions for Meetings

The following terms and conditions apply to all reservations of the Seagulls at Pauatahanui meeting facilities:

1. Reservation

1.1 A reservation for the meeting facilities is confirmed when Seagulls at Pauatahanui advises in writing the availability of the venue on the date(s) requested and a 50% deposit has been paid.
1.2 Deposits can be made by credit card or bank cheque

2. Final numbers

2.1 The final numbers attending the event to be confirmed two (2) working days prior to the date of the event.

3. Payment

3.1 Final payment to be made at the conclusion of the event by credit card or bank cheque unless prior credit facilities have been approved by Seagulls at Pauatahanui.
3.2 Where prior credit arrangements have been agreed, payment of accounts is required by the 20th of the month following the date of invoice which will be provided at the conclusion of the event.
3.3 Where prior credit facilities have not been arranged with Seagulls, and where the meeting attendees have incurred additional charges (such as for additional food, telephone charges), these accounts must be settled prior to departure

4. Cancellation

4.1 Events may be cancelled in writing up to 14 days prior to the event without penalty to the client
4.2 For cancellations between 14 days and 5 days prior to the event, 50% of the total venue hire is payable by the client.
4.3 For cancellations less than 5 days prior to the event, the total
venue hire fee is payable by the client.
4.4 All cancellations must be received by Seagulls at Pauatahanui in writing

5. Damage

5.1 The client is financially responsible for any damage, breakage or pilferage sustained to the premises or equipment by the client or the client's guests.
5.2 Nothing is to be nailed, screwed, stapled or adhered to any wall, door or other surface or part of the building unless prior approval has been obtained
5.3 Seagulls at Pauatahanui will take all necessary care of the client's property but will take no responsibility for damage to or loss of property or merchandise left on the premises prior to, during, or after the event.
5.5 The client must arrange their own personal liability insurance and security, as required.

6. Pricing policy

6.1 The prices in this events pack are valid until changed.

7. Force majeure

7.1 Where matters beyond the reasonable control of Seagulls at Pauatahanui impair or prevent the management being able to perform its obligations under the event contract, the client releases Seagulls at Pauatahanui from any liability or loss incidental or consequential to such matters.
